This Policy explains how we collect and use your personal data when you browse our website, book an appointment, complete an intake form, or contact us.
1) Data we collect
Identity & contact: name, email, phone, preferred language.
Booking data: chosen service, date/time, rescheduling/cancellation history.
Payment data: transaction IDs, amount, method (processed by our payment provider; we never store full card details).
Intake/health notes (optional): focus areas, injuries, sensitivities, pregnancy status, clinician guidance.
Communications: emails and messages (including WhatsApp if you choose to use it).
Technical data: IP address, device/browser info, and cookies (see Cookie Policy).

If you share health information, we’ll ask for explicit consent in the intake form. You can withdraw consent anytime; this won’t affect prior lawful processing.
3) Where data comes from
Directly from you (booking, forms, email/WhatsApp).
Automatically via our site (cookies/analytics).
4) Sharing & processors (Squarespace stack)
We share data only with processors acting on our instructions:
Website hosting/CMS: Squarespace
Online booking: Squarespace Scheduling (Acuity)
Payments: Stripe
Email & file storage: Google Workspace
Analytics: Google Analytics
Messaging: WhatsApp (Meta)
We have Data Processing Agreements with our processors (as part of their terms). We do not sell personal data.
5) International transfers
Some processors may be outside the EEA. We rely on Standard Contractual Clauses and/or other approved safeguards. Details are available on request.
6) Retention
Bookings & communications: up to 24 months after your last interaction.
Intake/health notes: up to 24 months after your last visit or until you withdraw consent (whichever comes first).
Invoices/financial records: 7 years (Dutch tax law).

7) Your rights (EU/EEA)
You can access, rectify, erase, restrict, object, and request data portability. Where processing relies on consent, you can withdraw it anytime.

8) Security
We use HTTPS, access controls, least-privilege access, and limited retention. No method is 100% secure, but we take appropriate measures.
9) Children
Services are for adults. For clients under 18, we require parental/guardian consent; under 16, a guardian must be present.
10) WhatsApp note
If you contact us via WhatsApp, your number and message content are processed under WhatsApp’s own terms. You can always use email or the website instead.
11) Marketing choices
Marketing is opt-in. Unsubscribe via the link in the message or by contacting us.
12) Changes
We may update this Policy and will revise the “Effective date.” Significant changes will be sign-posted.
